Family Planning Association of Malawi (FPAM) is a local, non-governmental organization providing youth friendly sexual and reproductive health rights, information, and services. FPAM compliments the government of Malawi in improving the health status of all people in Malawi. FPAM’s vision is a Malawian society with access to quality and comprehensive sexual and reproductive health services and information. FPAM is looking for suitably qualified candidates to fill the following vacant positions. JOB TITLE: 1) FINANCE AND GRANTS MANAGER REPORTS TO: DIRECTOR OF FINANCE AND ADMINISTRATION CONTRACT TYPE: SHORT – TERM RENEWABLE LOCATION: FPAM SECRETARIAT – LILONGWE JOB ROLE: The Finance and Grants Manager shall lead the financial planning, control, and compliance of grant-funded programmes. He/she shall ensure that donor tunds are budgeted, managed, and reported accurately, while supporting programme teams with sound financial guidance, strong internal controls, and full compliance with donor and organisational requirements. He/she shall work closely with programme managers, finance staff, senior leadership, auditors, donors, and implementing partners to ensure sound financial stewardship, compliance, and timely reporting across all grant-funded activities. DUTIES AND RESPONSIBILITIES Budget Development and Review: Lead the preparation and review of grant budgets during proposal development, ensuring that projected costs are realistic, complete, and aligned with programme objectives and donor requirements. Grant Financial Management: Monitor grant expenditure and cash flow to ensure funds are used appropriately, variances are identified early, and corrective action is taken when needed. Compliance and Internal Controls: Ensure full compliance with donor regulations, contractual obligations, financial policies, and statutory requirements, while strengthening internal controls and reducing financial risk Financial Reporting: Prepare accurate and timely financial reports, budget forecasts, and reconciliations for donors, management, and internal stakeholders. Audit and Documentation: Coordinate internal and external audits by maintaining complete, well-organised financial records and supporting documentation for all grant-funded activities. Systems and Process Improvement: Maintain effective grants and finance tracking systems, improve reporting processes, and support the use of financial data for planning and decision-making. Team Collaboration and Support: Work closely with programme, operations, and leadership teams to provide financial advice, build budget management capacity, and promote strong stewardship of donor resources. EDUCATION & QUALIFICATIONS Degree in Finance, Accounting, Business Administration, or a related field. A professional qualification such as ACCA, CIMA, CPA, or an equivalent certification is an added advantage. PROFESSIONAL EXPERIENCE Experience: At least 8 years of relevant experience in finance, accounting, and grant management, preferably within NGOs, nonprofit organisations, or development programmes. Technical Knowledge: Strong understanding of budgeting, donor compliance, financial reporting, fund accounting, and audit preparation. Systems Skills: Proficiency in accounting software, grant tracking systems, and advanced spreadsheet use for analysis, forecasting, and reporting. Communication and Interpersonal Skills: Ability to explain financial information clearly, work effectively across departments, and build strong relationships with internal and external stakeholders. Analytical and Organisational Skills: Strong attention to detail, sound judgement, and the ability to manage multiple deadlines in a fast-paced environment.
