POSITION: ASSISTANT HUMAN RESOURCE OFFICER

Location: Lilongwe

INTRODUCTION

The Central Medical Stores Trust (CMST) is responsible for Procurement, Warehousing, Sales and Distribution of adequate, affordable and approved and quality medicines and medical supplies to all public health facilities in Malawi.

CMST is seeking to recruit transformative and visionary persons to support it to effectively fulfil its mandate across its establishments in Mzuzu, Lilongwe and Blantyre as follows:

POSITION DETAILS

  • Job Title: Assistant Human Resource Officer
  • Job Grade: MS6
  • Location: Lilongwe
  • Responsible to: Human Resource Officer (MS5)
  • No. of Positions: One (1)

PURPOSE OF THE JOB

To support the Human Resource Section in implementing Human Resource policies, procedures and programmes and ensuring efficient delivery of human resource services across the Trust.

DUTIES AND RESPONSIBILITIES

The successful candidate will be responsible for:

  • Assisting in recruitment and selection processes, including advertising vacancies, shortlisting candidates and coordinating interviews.
  • Supporting induction and orientation programmes for newly recruited staff.
  • Maintaining and updating employee records and Human Resource databases.
  • Assisting in the administration of employee benefits and staff welfare programmes.
  • Supporting coordination of training and staff development activities.
  • Assisting in the preparation of Human Resource reports including attendance, leave and staff turnover reports.
  • Supporting employee relations initiatives and maintaining effective communication channels with staff.
  • Assisting in ensuring compliance with labour laws and CMST Human Resource policies.
  • Supporting performance management, disciplinary processes and staff meetings.
  • Providing administrative and clerical support to the Human Resource Section.
  • Monitoring leave utilisation and absenteeism records.

JOB AND PERSON SPECIFICATIONS

Qualifications

  • Diploma in Human Resource Management, Business Administration, Business Management, Public Administration, or a related field from a recognised institution.
  • Malawi School Certificate of Education (MSCE) or its equivalent.
  • Membership of a relevant professional body is required.

Experience

  • A minimum of three (3) years’ relevant experience in a Human Resource environment.

Skills and Personal Attributes

  • Proficiency in Microsoft Word, Excel and PowerPoint.
  • Knowledge of Human Resource Management Information Systems (HRMIS) and ERP systems.
  • Knowledge of Malawi labour laws.
  • Excellent communication and interpersonal skills.
  • High levels of integrity, professionalism and confidentiality.
  • Attention to detail.
  • Sound organisational and administrative skills.
