Videre is seeking a highly organised and proactive Human Resources and Administration Coordinator to support the effective delivery of human resources, governance, administration, and office management functions across the organisation.
Job Title: Human Resources and Administration Coordinator
Job Location: Remote (Worldwide) | Preferred Locations: Nairobi, Kampala, or Bangkok

Contract Type: Full-Time, One-Year Contract (with expectation of becoming permanent)
Salary: UK-equivalent £30,000 – £35,000 per year (location-adjusted using ICSC scales)
Reports To: Director of Operations
The successful candidate will coordinate recruitment and onboarding processes, maintain employee records, support governance activities, ensure compliance with organisational policies, and provide administrative assistance to leadership teams.
The role serves as a key point of contact for employee-related enquiries and contributes to continuous organisational improvement.

Key Responsibilities
Human Resources Coordination (40%)
Serve as the primary administrative contact for human resources-related enquiries and escalate issues where necessary.
Coordinate payroll administration in collaboration with the Head of Finance and Compliance.
Support recruitment activities, including candidate coordination, onboarding, and induction processes.
Manage core human resources administration, including right-to-work verification, employee records, and HR systems maintenance.
Ensure employment contracts and job descriptions remain accurate and up to date.
Support contract extensions, redundancies, and employment terminations.
Maintain HR-related content on the organisational intranet.
Contribute to the continuous improvement of HR policies and procedures.
Monitor compliance with performance review cycles and HR processes.
Coordinate organisation-wide training initiatives and staff support programmes.
Lead biennial salary benchmarking exercises and annual staff engagement surveys.
Governance and Knowledge Management (35%)
Manage organisational documentation and ensure accurate digital filing and compliance.
Provide administrative support to the Board, Senior Management Team, and Management Team.
Coordinate meetings, prepare documentation, and record meeting minutes.
Support statutory reporting and regulatory filings in the United Kingdom.
Coordinate logistics for board meetings, retreats, and organisational events.
Manage monthly reporting processes to ensure timely information sharing.
Maintain people and recruitment-related content on the organisation’s website.
Administrative Support (15%)
Monitor and manage the organisation’s general email inbox.
Support CEO scheduling and expense administration.
Arrange staff travel and accommodation when required.
Assist with visa application processes and travel logistics.
London Office Management (10%)
Oversee daily office operations and vendor relationships.
Coordinate incoming mail and registered office services.
Develop and maintain office systems and procedures.
Arrange meeting facilities and support office logistics.
Ensure compliance with workplace health and safety requirements.
Coordinate staff events and seasonal activities.
